Wedding On-the-day-Coordination

Because you don’t want to spend your special day being both a Newlywed and an Event Manager! 


This service is perfect for those who have done all the hard work of planning and simply require a dedicated professional to make sure everything goes right on the day. By hiring a Coordinator, you can hand over all the stressful tasks and responsibilities, so you and your loved ones can focus on enjoying every moment! 


Whether you just need an assistant for a few hours, or a manager for the day, we give you the gift of time.

Packages

Every package includes:


  • (1 month prior) Consultation to discuss all supplier/vendor and logistical information, all other ceremony & reception details, and finalise the event timeline and run sheet. 
  • (2 weeks prior) One visit to the venue(s) with you to confirm the details for the run sheet, decorations to be set up, and floor plan. 
  • A detailed run sheet, including every ‘where’ and ‘when’ such as: supplier/vendor movements, deliveries and arrivals - accounting for every detail and anticipating possible issues. 
  • Rehearsal coordination.
  • Unlimited email support. 


*Floor plans and other technical drawings can be time consuming and detailed, as they need to be drawn to scale. If you require this service in your package, please advise us upon booking, as this will incur an extra charge.

If you’re planning a small or intimate event, this package is perfect for you. As well as our preparation process, your Coordinator will provide up to five hours of service on the day. Assistants can be provided for an additional fee.

For a wedding that lasts most of the day and into the evening, your Coordinator will organise everything from start to finish. This package is ideal if you have seperate ceremony and reception locations to manage. As well as our preparation process, your Coordinator will provide up to 12 hours of service on the day of the wedding, plus an Assistant for up to 5 hours.

Large equipment such as marquees, some furniture and catering equipment are often set up the day before the wedding, and dismantled on the day after. This package allows for more comprehensive help with vendors and venues. As well as our preparation process, your Coordinator will provide up to 12 hours service on the day of the wedding, plus 2 Assistants for up to 5 hours.

Depending on whether your venue requires you to pack up the event on the same day or the next day, your Coordinator and other Assistants can take care of this for you as well! Additional hours can be added to your package for this service.

What does a Coordinator do?

Just some of the ways a Coordinator can help on your wedding day:

Ceremony: 

  • Installation and styling of ceremony decor and furniture
  • Placement of signage and other special items
  • Meet suppliers and direct setup
  • Greet and usher important guests
  • Manage wedding party arrivals and entrances
  • Assist celebrant with timing and music
  • Direct packing up/dismantle of ceremony site
  • Assisting the flow of guests from ceremony to reception
  • Coordinate with on-site staff at the ceremony and reception sites
  • Implementing a Wet Weather plan if necessary

Reception: 

  • Receiving and directing all deliveries/vendors/suppliers and setup
  • Placement of your signage, handmade elements and other special items
  • Installation of any Reflective Events decor/styling as per the service agreement
  • Coordinating the wedding party's reception entry
  • Adherence to timeline and briefing of venue and catering staff,  musicians and entertainment services, photographers, videographers and other vendors
  • Troubleshooting missing vendors, missing items or last minute problems
  • Managing the pack up/dismantle after the event
  • Delivery of any personal items back to you
